Our client has a requirement for an Associate Project Administrator to work as part of the Project and Department Administrator Team. The Associate Project Administrator will provide administrative and secretarial services to the Subsea Alliance Team.
KEY RESPONSIBILITIES
- Carry out all administrative related activities towards clients and projects
- Alignment – ways of working
- Handling external and internal communication
- Set up and maintain the Subsea Alliance SharePoint sites and subsites
- Newsletter
- Superuser and support
- Design an effective and appropriate SharePoint site to use
- Provide accesses to SharePoints and O-drive
- Provide access cards for new alliance personnel
- Schedule introduction meetings of new alliance personnel
- Update organization charts, seating plans and contact/distribution list
- Schedule, call in and prepare for meetings
- Participate in project meetings if requested
- Order food for meetings
- Arrange travel and accommodations
- Report and follow-up any IT issues - coordination with Company's IT personnel
- Arrange social events (workshops, team buildings etc.)
- Support project personnel with activities as needed
- General PIMS follow-up
Qualifications
- 1-3 years’ of relevant experience
- Excellent IT software knowledge (Office 365, Teams, Sharepoint, PIMS)
Personal skills
- Good interpersonal skills with the ability to interact at all levels
- The ability to work in a team as well as individually with a minimum of supervision
- Clear and effective oral and written communications skills in both Norwegian and English
- Strong integrity and focused on ethical behavior
- Structured and organised with good attention to details
- Hands-on approach is required as individual needs to be able to take initiative and be able to flag issues before they arise
- Driven and flexible individual with willingness to adapt and use own initiative
- Ability to prioritise and meet deadlines
Start date: ASAP
